Pictet Asset Management is seeking to recruit a Team Assistant to join the London-based Total Return Equities team. The Pictet Group is one of the world’s leading independent wealth and asset managers.

Their Total Return Equities strategies are managed by individual investment teams within the broader franchise. 

 

The Team Assistant will mainly be supporting the 5 heads of these teams, who report to the Head of Total Return Equities. As of 30th June 2022, there are 37 members within these teams, 25 of whom are Investment Managers.

The Role

 

In this role, you will report to the Head of Total Return Equities and work closely with the 5 team heads and other members of the Total Return Equities team more broadly. You will deliver high-quality and efficient secretarial and administrative support to the London-based team. 

 

Main Responsibilities and Tasks

 

Their work is busy and requires attention to detail. This role is ideal for someone who enjoys working with others, has a keen interest in data and organisation, and is enthusiastic about supporting others.

 

  • Ownership and management of diaries and meeting (re-)organisation including room and equipment bookings. Act as the intermediary between the investment teams and brokers as required.  

  • Proactively manage complex international travel bookings, including restaurants, currency, and visas.

  • Accurately prepare daily performance reports and documents for weekly investment meetings, as well as internal and external presentations

  • Coordinate expense returns, internal absence tracking and company visits systems. 

  • Support post-MIFID II corporate access and research management process. 



Key Contacts

 

Internal Contacts - All stakeholders across the organisation especially the Total Return Equities Team, other Team Assistants and Executive Assistants in London and Geneva. The role will develop communications across the Equities division, finance, travel office, marketing and compliance. 

External contacts – A wide variety of external relationships in the commercial and third-party partnership sectors including clients, brokers and candidates. 

 

About You

 

Essential Skills

  • Significant previous work experience in a similar position within a busy environment 

(we will consider candidates who can demonstrate this level of competency through assessment within the selection process). 

  • Advanced skills with MS Office packages particularly Excel (e.g. experience manipulating large quantities of data, pivot tables, and V lookups) and PowerPoint (e.g. creating and formatting presentations to the PAM standard).

  • Strong organisational and administrative skills. 

  • Excellent analytical skills with a keen attention to detail

  • A team player; wanting to collaborate with different teams and act as a key point of contact for Total Return Equities. 

  • Curious self-starter, ready to work independently and within a team and take initiative; forward-thinking in management of stakeholders and project coordination. 

  • Excellent communication skills (e.g. writing department-wide communications, writing minutes, email communications or preparing presentations and reports. Verbal communication for tasks such as organising meetings over the phone.)

 

Desirable Skills

  • Knowledge of, or experience in, the financial services industry preferred.
